Position Title: Receptionist Intern
Duration: 12-month contract
Universities South Africa (USA) is offering an exciting Receptionist Internship aimed at skills development and providing work experience to unemployed graduates. The programme is designed to help graduates gain valuable exposure to the workplace while building essential administrative and organizational skills. This 12-month internship offers an opportunity to contribute to a professional environment while learning and developing the necessary skills for future career opportunities.
Responsibilities:
As a Receptionist Intern, your key responsibilities will include:
- Managing the front desk: Attending to telephones, directing calls to relevant staff, and taking messages when unavailable.
- Visitor management: Welcoming visitors, ensuring they are properly directed to relevant departments or staff.
- Mail and document handling: Receiving, sorting, and distributing incoming mail and other documents.
- Maintaining the reception area: Keeping the area clean, tidy, and stocked with necessary stationery and promotional materials (e.g. brochures).
- Administrative support: Performing various administrative duties, such as minute-taking, filing, photocopying, transcribing, and faxing.
- Meeting coordination: Organizing meetings, arranging meeting spaces, and coordinating catering requirements.
- General clerical support: Providing general support to various sections and departments across the organization.
- Security and access control: Ensuring office security by following safety procedures and controlling access at the reception desk.
- Document filing and archiving: Maintaining proper filing systems and ensuring documents older than three years are archived appropriately.
- Ad hoc duties: Performing any other tasks as required by the team.
Qualifications:
To qualify for the Receptionist Internship, applicants must meet the following requirements:
- A Bachelor’s Degree or equivalent qualification in any related field.
- Strong administrative and clerical knowledge, with a good understanding of general office procedures.
Experience:
- No prior work experience is required, though any previous internships or experience in an office environment will be an advantage.
- A willingness to learn and contribute in a professional setting.
Skills:
