Job Description
Roll Property Group is offering an exciting Admin Internship Programme for 2024/2025. We are seeking Lease Administrator Interns to join our team for a 12-month contract. In this role, you will support lease administration by maintaining accurate tenant records, managing lease accounts, and assisting with clerical duties.
Responsibilities
- Terminate tenant accounts as instructed and notify relevant departments.
- Capture journal entries for lease fees and deposits.
- Advise meter readers of tenant changes.
- Arrange invoices for tenants making advance deposits or rental payments.
- Upload relevant documents to BOL and send original leases for archiving.
- Notify utility companies of electricity and water adjustments related to tenant movements.
- Send tenants copies of signed leases and offers.
- Execute credit rating procedures.
- Draft and prepare lease agreements.
- Maintain a register of all lease movements.
- Capture and process lease agreements via owner’s approval form.
- Amend and cancel lease agreements, addenda, and suretyships as necessary.
- Handle and verify deposits, bank guarantees, and maintain necessary reports.
- Reconcile deposit accounts and adhere to deadlines.
- Ensure compliance with lease tracking processes.
- Maintain effective communication with company personnel and management.
- Liaise with other departments to correct transactions.
- Assist Portfolio Management personnel as needed.
- Keep management updated on activities and any significant issues.
- Attend management meetings and take minutes.
- Complete special projects and additional duties related to lease renewals and administration.
- Update and maintain lease audits and building lease profiles.
- Prepare monthly leasing reports for management packs.
- Create monthly executive summaries for the leasing manager.
Qualifications
- Grade 12 / Matric or equivalent certification.
- Basic understanding of legal leases.
- Familiarity with accounting practices is a plus.
Experience
- Previous experience in an administrative or property management role is an advantage but not mandatory.
